A case is a collection of tasks bundled around one party — forms to fill & sign, documents to upload, data to verify — everything you need to collect and organize their information in one place. Xena chases it to completion: the follow-ups, the nudges, the reply handling, and the final close. It's the one unit we bill on, and each completed case (included or overage) contributes its allowances to your Global Monthly Pool.

A data element is a single piece of structured information captured in a case — a field someone fills in or signs on a form, or a value Xena extracts from an uploaded document. A short intake form might be a handful of elements; a multi-page packet with several forms can be a few hundred. It's easy to estimate up front: it tracks closely with the number and complexity of the forms in your case bundle. Each plan includes a per-case allowance, and the totals feed your Global Monthly Pool.

Rather than metering every API call separately, we sum the per-case allowances across all your cases into one shared pool of AI credits, comms actions, data elements, and ingestion. Your cases draw from that pool as Xena works them. It's simpler to reason about and means a light case can effectively subsidize a heavy one.

Every plan includes a 10-day free trial. During the trial you get full platform access with Starter limits — 50 cases per month and Starter per-case allowances for AI credits, comms, data elements, and file ingestion. We collect a card when you sign up so there's no interruption if you decide to keep going — but you can cancel anytime during the trial and you won't be charged. When the trial ends, billing follows the plan you selected (Professional or Scale limits apply from then on). No contracts, ever.

Nothing breaks. Additional cases are billed on a metered basis at your tier's overage rate — $1.00, $0.80, or $0.50 per case — and each overage case still adds its consumables to the pool. The simulator above forecasts this for you.

One-time packs (AI Pack, Comms Pack, Ingestion Pack) are best for an unusually heavy cycle — they top up the current pool only. Monthly profile boosters permanently raise your per-case allowance, which is the better deal when most of your cases are consumable-heavy. If you're consistently over on cases themselves, upgrading the base plan lowers your overage rate.

Yes — the Billing Center gives you full control. Set a hard cap that pauses new case creation when allowances are depleted, or a soft cap that auto-buys a one-time Booster when a consumable hits zero. You can configure spend thresholds per consumable and add email recipients to be alerted as unbilled usage approaches a limit. Nothing is ever charged beyond the limits you set.

Your base subscription bills on its regular cycle. Metered overages and one-time Boosters accrue as unbilled usage, which you can watch in real time in the Billing Center — live pool consumption, your current unbilled balance, and a full charge history, all in one place. To limit risk, if that unbilled balance reaches $300 mid-cycle, we automatically invoice and charge your payment method, then reset the balance. From the same screen you can upgrade or downgrade your plan and add or remove Boosters at any time. Billing is powered by Stripe.

We retain everything. All files, form data, and communication logs stay in your account — encrypted at rest in the Xenqu vault — so a complete audit trail is always a click away. At-rest storage isn't capped or charged: there's no purging, no retention timer to configure, and no storage add-on to buy. You only ever pay for cases and the consumables Xena uses while working them.

Upgrades take effect immediately. Downgrades and removing monthly boosters take effect at the start of your next billing cycle (we don't prorate refunds for mid-cycle downgrades). There's no long-term contract on Starter, Professional, or Scale.
